FEATURE ANNOUNCEMENT: Google Calendar Integration for Staff Assignments

We’re excited to announce a new feature designed to simplify guide and staff scheduling: Google Calendar Integration is now available in The Flybook!

With this release, assigned staff can now sync their scheduled trips directly to their personal Google Calendar, which means no more logging in just to check your upcoming work.

Here's an instructional video of what this looks like when implemented!

What It Does

Once enabled, any time a staff member is assigned to an activity, the event will automatically appear on their Google Calendar. The calendar entry will include:

  • The Activity Name
  • A link back to the trip on their My Calendar page in Flybook

And don’t worry - if things change (start time, staff updates, etc.), the calendar will update automatically.

How to Set It Up

  1. Permissions First
    Staff must have:
    • Flybook login access

    • A Staff profile tied to their Flybook user login
    • The “Update My Account” permission enabled

  2. Enable Google Login
    In your My User Settings, enable “Sign in with Google”:

  3. Connect Your Calendar
    You’ll see a new “Connect Calendar” button in your User Login area.

    You may see a Google verification warning. Click “Advanced” and proceed.


  4. Sync Existing Assignments
    Once connected, click “Sync MyCalendar” to add all current assignments to your calendar - only click this ONCE!



    All future assignments and updates will sync automatically from then on.
